Privacy policy
This page explains what personal information Lanexa collects, why, where it is kept, who can see it, and how to ask us about it. It covers everything Lanexa runs, including the forms we place on other platforms.

1. Who we are
Lanexa is a transportation management platform built and run in Canada by Cygnik Tech, its Canadian parent company. When this policy says "we", "us" or "Lanexa", it means Cygnik Tech operating the Lanexa product. Cygnik Tech is responsible for the personal information described here.

2. What this policy covers
This one policy applies to every place Lanexa collects information:
- The website at lanexa.io, including the early-access (waitlist) form and the contact and demo-request form.
- The Lanexa application at app.lanexa.io, including its sign-in pages and the public pages it produces for people who are not signed in: shipment tracking links, quote acceptance pages and document-upload links.
- Forms we run on other platforms, such as LinkedIn Lead Gen Forms and other advertising or event platforms, where the form links to this page.
- Our conversations with you by email, phone, SMS and WhatsApp, and messages exchanged through the Lanexa application.
- Any other Lanexa website, portal or form that links here, now or in the future.
The application is also used by our customers, trucking companies and freight brokers, to manage their own operations. Information they enter about their drivers, shippers, partners and shipments belongs to them; section 6 explains how that works.
3. Information we collect, and why
3.1 When you visit the website
Our hosting and security provider, Cloudflare, records the technical details of each request (your IP address, browser, the page requested, and the time) to serve the site, protect it from abuse and report aggregate traffic. We use analytics tools (Google Tag Manager with Google Analytics, Cloudflare Web Analytics, and the analytics service of our parent company, Cygnik Tech) to understand which pages are read, how people move through the site and where they struggle. Cygnik Tech's service may record how a page is used, such as scrolling, clicks and navigation, so we can fix what is confusing. This information is used in aggregate to improve the site; we do not use it to identify you by name.
3.2 When you fill in a form
Every form we run, on our own site or on another platform, collects only what it asks for. Depending on the form, that is your name, work email address, phone number, company name, job title, fleet size, the lanes you run, and anything you choose to write in a message box. When you submit a form on LinkedIn or a similar platform, that platform sends us the fields you agreed to share from your profile, typically your name, email address, job title and company.
We use what you submit to:
- Answer your request: reply to a question, book and prepare a demo, send you your pricing when it is set, or add you to the early-access list you asked to join.
- Tell you about Lanexa: product updates, new capabilities and pricing news, only where you have agreed to hear from us or an existing business relationship makes that reasonable, and always with a way to stop.
- Invite you to events such as webinars or in-person sessions, only where you have agreed to that use.
- Send a newsletter, only where you have specifically signed up for one.
Where a form offers separate checkboxes for these uses, we use your information only for the uses you ticked. A submission on lanexa.io is stored at our hosting provider for up to 90 days as a safeguard against lost email, and is delivered to our team's mailbox at info@cygnik.com, where we keep it for as long as we are in conversation with you or you have asked to hear from us.
3.3 When you use the Lanexa application
To provide the service we collect your account details (name, email address, phone number, company, role), your sign-in activity, the settings you choose, and a record of what you do in the application (an activity log that shows who did what, and when, so that your company can rely on its records). Messages you send to drivers and partners through the application by SMS, WhatsApp or email are stored with the shipment they concern, which is the point of the feature. Documents you upload are stored so they can be filed to the right shipment and found again.
Some capabilities use artificial intelligence, for example reading a rate confirmation to fill in a load, sorting an uploaded document, or answering a question about your data. Content sent to those features is processed by our AI service providers under agreements that do not allow them to use it to train their models.
If your company connects other services to Lanexa, such as an accounting system or a telematics provider, Lanexa exchanges the data needed for that connection to work, and only after your company's administrator has authorised it.
3.4 When you use a public page the application produces
A shipper following a tracking link, a customer accepting a quote, or a driver uploading a document through a link needs no account. Those pages record what is needed for the action itself: the time, the acceptance or upload, and the name typed in. For quote acceptance we keep a clear record of who accepted and when, because that is what the acceptance is for.
4. Consent and marketing messages
We send commercial electronic messages only with your consent, or where an existing business relationship makes it reasonable under Canada's anti-spam legislation. Every marketing email includes an unsubscribe link, and every SMS tells you how to stop. You can withdraw consent at any time by using those links or by writing to info@cygnik.com; we will still send messages that are part of a service you use, such as a reply to your request or a notice about your account.
5. Who we share information with
We do not sell personal information, and we do not share it with anyone for their own marketing. We share it only with:
- Cygnik Tech, our parent company, which operates Lanexa and answers your requests.
- Service providers that work for us under contract and may use the information only to provide their service: website hosting and security (Cloudflare), analytics (Google, Cloudflare, Cygnik Tech's analytics service), email (Zoho Mail for our mailbox; email-delivery services for messages the application sends), text and WhatsApp messaging (Twilio), mapping and mileage, border wait-time and weather feeds, and AI model providers.
- Services your company connects to the application, such as QuickBooks Online or Samsara, at your company's instruction.
- The platform a form runs on, such as LinkedIn, which also holds what you submitted there under its own privacy policy.
- Public authorities, where the law requires it.
- A successor, if Cygnik Tech or the Lanexa product is ever sold or merged, in which case this policy continues to apply.
6. Information our customers hold about you
Trucking companies and brokers use Lanexa to manage their own people and shipments. If you are a driver, a shipper, a customs broker or a partner carrier and your details are in Lanexa, they were entered there by the company you work with, and that company decides how they are used. Lanexa processes that information on the company's behalf and under its instructions. To see, correct or remove that information, contact the company directly; we will help them do so.
7. Where information is kept
Lanexa is built and run in Ontario. Customer data in the Lanexa application is hosted in Canada. Some of the service providers named in section 5 process limited information on servers outside Canada, for example when an email is delivered, an analytics event is recorded or an AI request is processed; while it is there, it is subject to the laws of that place. We choose providers that commit to protecting the information they handle for us.
8. How long we keep it
- Form submissions: up to 90 days in our hosting provider's storage, and in our mailbox for as long as we are in conversation with you or you have asked to hear from us.
- Application data: for as long as your company's account is active, and afterwards for the period its agreement with us sets out, so records can be exported and obligations such as tax and customs record-keeping can be met.
- Technical and security logs: for a limited period set by the provider, typically days to months.
- Analytics: in aggregate form, for as long as it remains useful for improving the site.
9. How we protect it
Every connection to Lanexa is encrypted. In the application, each company's data is separated from every other company's at the database level, and each user sees only what their role allows. Access by our own team is limited to what is needed to run and support the service. No system is perfect; if we ever learn of a breach that creates a real risk of harm to you, we will tell you and the Office of the Privacy Commissioner of Canada as the law requires.
10. Your choices and rights
You can, at any time:
- Ask what we hold about you and receive a copy.
- Correct anything that is inaccurate.
- Withdraw consent to marketing, or to any optional use you agreed to on a form.
- Ask us to delete your information, which we will do unless we need to keep it to complete something you asked for or to meet a legal obligation.
- Control cookies and analytics through your browser settings, described in section 11.
Write to info@cygnik.com or call(888) 777-1672. We answer within thirty days. If you are not satisfied with our answer, you may contact theOffice of the Privacy Commissioner of Canada. Residents of Quebec have additional rights under Quebec's private-sector privacy law, and we honour them.
11. Cookies and similar technologies
The website and application use a small number of cookies and browser storage entries:
- Needed to work: a security cookie set by Cloudflare to tell people from automated traffic, your sign-in session in the application, and a browser setting that remembers your light or dark theme preference.
- Analytics: identifiers set by Google Analytics through Google Tag Manager, by Cloudflare Web Analytics, and by Cygnik Tech's analytics service, used to count visits and understand how pages are used.
You can block or delete cookies in your browser at any time; the site will still work, though we will not be able to remember your preferences. Browsers that send a "do not track" or global privacy control signal are treated the same as any other, because there is no consistent standard for honouring them, but the controls above apply to everyone.
12. Children
Lanexa is a business product. We do not knowingly collect information from anyone under 18, and we will delete it if we learn we have.
13. Changes to this policy
When we change this policy we update the date at the top of this page. If a change affects how we use information you have already given us, we will tell you before it takes effect, by email where we have your address.
